The meeting began at 12:05 Noon Members Present: Tamara Bories, Amy Burke, Brian Clark, Minsun Doh, Clifton Ealy, Redina Finch, Binto George, Steven House, George Mangalaraj, 2. CIT Vice Chair George Mangalaraj introduced Ms. Rebecca Slater, CIO uTech, and started the meeting. 3. Rebecca Slater talked about the initiatives of uTech. At the outset, she explained the move to the Google Drive initiative and how it will affect the personal files on the P Drive. 4. Next, she talked about the student technology fee increase and how it could be used to address the minimum wage increase for student workers. She also mentioned about the printing they provide to students and how it could be changed to minimize the cost. The current SGA President is interested in options in this regard. In this regard, Rebecca Slater mentioned that one way we could put the money to use in the classroom technologies. She has suggested an option where the faculty/department can ask for a grant for upgrading the classroom computers with the savings/changes in the printing model to a paid one. Tamara Bories mentioned the need for classroom technology maintenance and how the department chairs could facilitate these proposals. Clifton Ealy suggested that the money could be used to upgrade wireless infrastructure, computer labs, and residence hall networks that the students use. Rebecca Slater clarified that we cannot use this money on Auxiliaries under which residence hall comes into account. Binto George also suggested how it could be spent on student facing technology things. George Mangalaraj also mentioned that since the last-time this printing model was voted down by the SGA, it may better to make it appealing to students by spending the money on student-related technology such as wireless networks, labs, purplepost, and all. 5.Rebecca Slater mentioned the changes to MFD contract. She also mentioned there will be a temporary saving on that account of the changes in the contract. Since it is temporary, the money can be spent only on equipment and not on software that may require a yearly fee. Rebecca Slater mentioned that she has suggested that this will be used to upgrade classroom technology. The cost for classroom upgrade is approximately $5,000 and if it is a Dell touchscreen one, then it is $10,000. 5.Clifton Ealy asked how many classrooms are Zoom capable. Rebecca Slater said she does not have that number right away but can get it. 6.Binto George asked about the issues in Polycom conference where we connect to wrong meeting locations sometimes. Rebecca Slater mentioned that they are currently moving away from Polycom to vendor-agnostic technologies. Zoom and others can help in that. 7.Rebecca Slater also mentioned about the ongoing issues and pandemic preparation. She suggested that we do tabletop exercises on scenarios for how to have classes in such a scenario. Clifton Ealy mentioned that he earlier asked about Zoom classroom numbers primarily for that in mind. Binto George asked about Zoom license and availability of it. George Mangalaraj mentioned that we could use Google Meet for it as it is free. Rebecca Slater mentioned that it could work in that scenario where faculty and students will be away in their homes, and a desktop camera will be fine. Clifton Ealy suggested that coming to the classroom may not be a bad idea if we are the only person in the class. 8.Rebecca Slater mentioned about the Support App that is on the desktop of instructor stations in the classrooms and the usefulness in reaching the support center. She said that faculty can use that while in the class to reach the support center to solve any issues in the class. Tamara Bories shared her recent experience with that and said that she had a classroom computer that did not have PowerPoint application and when she requested that the supporter center said it will take a couple of days to install it. She also mentioned that Google File Stream is not there in her classroom and she wanted to use it. Rebecca Slater said the emphasis they place at the support center for classrooms and they do not want a class to be disrupted because of technological issues. She has personally told the support center employees on how to deal with classroom requests and the priority that has. Rebecca Slater also mentioned that she will check with the classroom support to install Google File Stream on classroom computers. 9.Rebecca Slater also mentioned that now we have a second scantron machine and that should help, especially during the final exam weeks. 10. Binto George asked about blocking YouTube ads. in classroom computers as sometimes he shows videos and occasionally inappropriate advertisements are shown. Rebecca Slater mentioned that we do not currently block inappropriate content owing to academic freedom except for some obvious security/malware related content. Clifton Ealy clarified the ads may not be dependent on blocking such content and may require a subscription to stop ads. Rebecca Slater mentioned that there is always priorities in the spending on the funds. 11. George Mangalaraj asked about the faculty computer upgrade and whether the savings from the MFD contract changes could be used here. Rebecca Slater expected that money to be spent on classroom and computers and the departments will prioritize that usage. 12. Redina Finch mentioned that she is in touch with Brandon Colley and they are looking at options for her classroom that involves Linux. Clifton Ealy mentioned that there may be apps that are available to help in that. George Mangalaraj suggested that P Drive space could be done on as needed basis for the required classrooms. Rebecca Slater mentioned that those are the options Brandon Colley is exploring for the class. 13. Rebecca Slater mentioned that currently, we are upgrading the wireless in Sallee Hall, Mowbray, and Heating Plant. They have selected a mix of building to test out a new type of wireless networks that are not that expensive when compared to CISCO networks. 14. Rebecca Slater also mentioned that this month the desktop screensavers are for national employee appreciation month. Faculty appreciation month will come in May. 15. Rebecca Slater also mentioned that she will love to assist in any grant applications involving the improvement of technologies and provide necessary information on-campus technology infrastructure. 16. After the guest left, George Mangalaraj initiated the discussion on Google Drive migration. There were no concerns expressed. 17. Redina Finch moved a motion to support the migration to Google Drive and Steven House seconded it. The motion passed with 8 yes and 1 abstention. 18. George Mangalaraj solicited ideas for the next guest and suggested Roger Runquist, Director CITR as one possibility. The committee is fine with that and hence he will contact and schedule the guest. Brian Clark suggested that we can also invite Krista Bowers-Sharp or Hunter Dunlap for a meeting as the library is moving to a new system.
